Every organisation has work that exists only because nobody has had time to automate it. A form that gets emailed for signatures. A spreadsheet three people update in sequence. A report someone builds by hand every Friday because that is how it has always been done.

Individually none of it justifies a project. Together it is a full-time job spread invisibly across a dozen people.

What typically gets automated

Approval and workflow routing, so a request moves and is tracked instead of sitting in an inbox. Document workflows with a real status rather than a filename convention. Excel and spreadsheet work that runs on a schedule instead of a person. Data entry that should never have been retyped from one system into another. Compliance and audit reporting assembled automatically from the records that already exist. Incentive and payroll calculations where the rules are consistent but applying them by hand is slow and error-prone. Reports that distribute themselves on a schedule.

The approach

I start by asking why the work exists, not just how it is done. A surprising amount of recurring office work is a workaround for a system that changed years ago, and the right fix is to remove the step rather than automate it. That conversation costs you nothing and sometimes ends the project on the spot, which is a good outcome.

For everything that survives that question, the automation is built around the process you already have, so nobody needs retraining on a new way of working. The output looks like what people already receive. It just arrives without anyone assembling it.

How to scope it

Pick the single most irritating recurring task in your week. That is almost always the right first build: small enough to finish quickly, painful enough that the value is obvious, and self-contained enough that a trial is a fair test. What tends to happen after that is people start bringing me the next one.
